Privacy notice
This notice explains how Plan Ahead - iCal for cleaners handles information when you manage properties, calendars, and cleaning crews.

Information we handle
- Account information: email address, display name, verified sign-in state, workspace role, and optional profile photo.
- Property and schedule information: house names, addresses, time zones, cleaning windows, reservation timing, cleaning status, and user-provided iCalendar links. Private calendar links can contain access tokens and are available only to authorized owner or admin workflows; cleaner-safe schedule copies omit them. Plan Ahead re-reads the calendar links saved for your properties on a schedule, including at times when nobody is using the app, so that a reservation a guest cancels stops appearing as a cleaning to your crew. Those requests go only to the calendar address you provided; the resulting reservation dates are shared with your crew, and the link itself never is. You can switch scheduled checking off for your workspace, after which reservations update only while an owner or admin has the app open.
- Crew information: invitation email, role, invitation status, workspace membership, and completion updates. An invitation may include an offer: the pay per cleaning and the bedroom, bathroom, bed, and square-foot counts of the property. An offer never includes the property address.
- Cleaner marketplace listing: if you are a cleaner in someone else's workspace, your display name, profile photo, completed cleaning count, optional headline, and service areas are shown to other signed-in Plan Ahead users so they can send you work. Service areas are the city, state, and ZIP code of houses you clean — never a street address or unit. A house you own is never a service area; only houses you clean for someone else are. Your email address and phone number are never shown. Listing is on by default and you can switch it off at any time in Settings, which removes you from the marketplace immediately. You can also replace the derived areas with ones you choose.
- Completed cleaning records: when a cleaning is marked complete we keep a permanent record of the house name, address, date, who completed it, and which photos were attached. This record is kept independently of the reservation it came from, so it survives a booking platform removing that reservation, and it is not deleted when photos reach the end of their retention window.
- Service information: request time, IP address, route and response status, bounded rate-limit counters, error diagnostics, and security audit records.
Address suggestions and Google Places
When you use address autocomplete, the address characters you type, a random search-session token, and the selected Google place identifier are sent through Plan Ahead's authenticated service to the Google Places API. The request is limited to United States address results. Google returns address suggestions and a formatted address. You can avoid this processing by entering an address manually.
Google processes those requests under its own privacy terms. Plan Ahead keeps the Google API credential on the server and does not expose it to the app.
How information is used and shared
We use information to authenticate accounts, synchronize authorized crew schedules, show cleaning details, send invitations, maintain completion history, provide address suggestions, protect the service, and respond to support requests.
Workspace data is shared with members of that workspace according to their role. We use service providers including Amazon Web Services for authentication, database, storage, email, and hosting, Google Places for optional address completion, calendar providers when their feeds are requested, and Apple or Google for app-store purchases. We do not sell personal information or use third-party advertising trackers.
Storage, retention, and deletion
Cloud workspace data and account records are retained while needed to operate the account. Short-lived invitations, rate counters, signed links, and some audit records have bounded expirations. Security and request logs and encrypted recovery copies expire on the service's configured retention schedules.
Deleting an account removes its profile, avatar objects, account records, invitations addressed to that email, and memberships. Because Plan Ahead has no workspace-ownership transfer, deleting an owner also deletes every workspace they own, including its houses, calendars, addresses, reservations, statuses, invitations, and memberships. Shared history in a workspace owned by someone else can retain an opaque internal user identifier where needed to preserve record integrity; it does not retain the deleted member's profile or membership.
One-way account and email identifiers are retained for up to two hours after deletion only to prevent an already-issued session token from recreating deleted data or a racing invitation from restoring the deleted email address.
Completion photos and videos are deleted automatically: two months after upload on the free plan and five months with a subscription. Subscribing extends photos already uploaded. The record that a cleaning happened is kept after its photos are deleted.
Turning off your marketplace listing removes you from the marketplace immediately. Deleting your account removes your listing along with the rest of your account data.
Anonymous or device-only schedules are separate from a cloud account. Remove them in the app or clear the app's local storage.
Your choices and security
You can enter addresses manually, disable cleaning notifications, leave a crew by asking an owner or admin, update your profile photo, or delete your account. Account deletion requires a recent sign-in and is irreversible.
Marketplace: if you clean for someone else you are listed so homeowners can find you. Open Settings and turn off List me as a cleaner to be removed. You can also edit which cities appear on your listing, or replace the derived ones with your own. Listings are visible only to signed-in Plan Ahead users; they are not published on the public web and are not indexed by search engines.
Plan Ahead uses access controls, encrypted AWS storage, short-lived avatar links, and redacted cleaner-safe schedule copies. No system can guarantee absolute security, so protect private calendar links and report suspected misuse promptly.
Children, changes, and contact
Plan Ahead is a work-scheduling service and is not directed to children under 13. We may update this notice when the service changes and will revise the effective date.
